We are a fast-growing Seafood Wholesaler and are now seeking an experienced ExecutiveAssistant to provide administrative support to our COO.Key Responsibilities:1. Supports COO to ensure the smooth flow of information and activities in amultifaceted operation with ever-changing priorities2. Handles and prepares all aspects of confidential and sensitive documents, ensurescritical timelines are met3. Manages COO’s daily calendar including planning and scheduling meetings,appointments, demos, and events4. Plans and coordinates COO’s transportation, travel arrangements and itineraries;5. Works with internal and external stakeholders to review event lookaheads;6. Drafts briefing notes to prepare COO for all important meetings, events, speakingengagements, and event schedules;7. Prepares agendas, attends meetings, schedules and takes minutes at internal andexternal meetings as requested8. Possesses good grasp of corporate priorities to determine where COO attendance isrequired;9. Prepares for client meetings or presentations (eg. Organizing meeting materials,ensuring meeting room is prepped, IT equipment is set up and working)10. Possesses good grasp of current and future business and its impact on project andcommunication workflows to identify roadblocks or conflicts;11. May serve as the primary point of contact for internal and externalstakeholders on business matters and local office matters12. Assists with internal and external communication efforts: organizes andcoordinates special events and projects13. May support related projects and conduct research as required14. Other duties as may be required.Key Qualifications:1. Minimum 3 to 5 years experience in business management & operation2. Post-secondary degree or diploma (Business or Communication background preferred)3. Demonstrated organizational, scheduling, and multitasking abilities4. Proven ability to effectively communicate verbally, in writing, and with diversegroups5. Proven ability to work well under pressure and complete projects timely andproactively6. Work well both in a team and individual setting7. Demonstrated ability to act with minimal supervision, discretion, maturity, and withabsolute confidentiality8. Proven ability to work with limited information and problem solve to deliverideal solutions9. Experience in the manufacturing or wholesale industries is a definite asset.10.
