We are seeking an organized, personable, and detail-oriented office coordinator to join our organization. Office Services Co-ordinator (NOC: 1221) Job Duties and Responsibilities 1) Oversee and co-ordinate office administrative procedures and review, evaluate and implement new procedures 2) Establish work priorities, delegate work to office support staff, and ensure deadlines are met and procedures are followed 3) Welcome clients and visitors to the office and assist them as needed 4) Perform various clerical tasks as needed (file papers, organize supplies, etc.) 5) Take meeting notes and transcribe into email, document or spreadsheet form 6) Conduct analyses and oversee administrative operations related to budgeting, contracting and project planning and management processes 7) Answer phones and route calls to appropriate persons 8) Take and deliver phone messages 9) Assemble data and prepare periodic and special reports, manuals and correspondence 10) Manage, sort, and dispense incoming mail and faxes 11) Prepare outgoing mail, faxes and packages 12) Assist in preparation of operating budget and maintain inventory and budgetary controls 13) Perform general bookkeeping duties 14) Maintain staff and company calendars 15) Set appointments, meetings, and conference calls 16) Reserve conference spaces for meetings 17) Plan out of town travel arrangements for executives 18) Suggest changes to office task workflow in order to improve efficiency 19) Maintain an organized work space at all times 20) Clean and tidy public office spaces 21) Frequently check office supply stock; reorder supplies when needed 22) Track orders and maintain clients relationships 23) Attend company meetings and take notes, keep minutes, etc. 24) Train and assign tasks to new office clerks or interns 25) Report any updates or pertinent issues that need addressing to the office manager 26) Uphold and carry out company office policies and procedures Requirements and Qualifications 1) University Certificate in Administration, Management or related field preferred 2) 8+ years working in office admin or hospitality management preferred 3) Computer literate and proficient using Microsoft Suite 4) Experience using office machinery (fax, printer, copier, phone systems etc.) 5) Excellent customer service skills 6) Organized and detail-oriented 7) Outstanding communicator both verbally and written Compensation for this position: Job Type: Full- time and permanent position Salary: $40/ hour. 40 hours per week, 52 weeks per year.
