We are a growing scaffold company and have an exciting opportunity for a dedicated part-time Office Administrator to work in a team environment at our Scarborough office. The ideal candidate will undertake administrative tasks and provide adequate support to the rest of the staff (estimator, project/operations coordinators, field workers) to ensure effective and efficient day-to-day operations of the company.
Responsibilities and duties include (but not limited to):
- Answer phone lines and take messages, appropriately respond to inquiries/ quote requests, direct customer and vendor calls to the correct individuals.
- Work with estimator to complete and send quotes to customer and projects
- Follow up with customer on credit application, quotation acceptance and purchase/ change orders and other matters as required
- Account Receivables: invoicing, reminders and collections
- Verify accuracy of various documents including customers invoices, cash receipts, supplier invoices and post information to accounting software, reconcile accounts
- Proof and validate all timesheets and invoices for payment and process contractor invoices
- Prepare payroll cheques and make journal entries into QuickBooks
- Strong command of the English language both verbal and written; must have good grammar and spelling skills
- Proficient in Microsoft Office (Word, Excel), Acrobat
- Resourceful problem solver with the ability to learn quickly and willingness to learn new things
- Competent in prioritizing and working with little supervision.

- Post-secondary education preferably in accounting or similar.
