- Assist in the preparation and organization of immigration-related documents, including forms, letters, and supporting materials as well as support immigration case specialist in coordinating and managing client cases.
- Maintain accurate and up-to-date case files, tracking deadlines and milestones.
- Draft and proofread correspondence, emails, and assist in organizing and filing physical and electronic documents.
- Provide general administrative support to immigration case team, including managing calendars, answering phone calls, replenish office supplies and handling communication with IRCC and different stakeholders.
- Facilitate communication between departments regarding document status, revisions, and approvals.
- Conduct research to support immigration case preparation and ensure compliance with relevant regulations.
- Bachelor’s degree is required, master’s degree or above is advantageous
- Previous experience as an administrative assistant, office coordinator or reception, preferably in an immigration-related setting.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy in document preparation.
- Effective communication and interpersonal abilities.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to handle sensitive information with confidentiality.
- Strong oral and written English and/or French. Fluent in Mandarin Chinese is a plus
